The roofing firm already had some digital tools in place, but information was spread across too many systems. Getting the right details to site teams wasn’t always reliable, and people could turn up without everything they needed to carry out work safely and effectively.

Site sign-ins, inductions, RAMS, and permits were largely paper-based or clunky to manage. There was limited visibility of who was on site, who hadn’t signed out, and what documentation had been read and agreed on a given day.

With a mix of employees and subcontractors across multiple sites, keeping people safe, managing risk, and maintaining a clear site register relied heavily on manual processes and experience.

The system worked, but only because people worked around it.

The challenge

Lloyd wanted to standardise and simplify how information flowed from the office to site.

He needed to avoid ending up with 15 different systems, while still supporting the realities of site work, mixed workforces, and changing conditions. Any new system had to be simple enough to be adopted on site, without becoming another tool that people resisted.

Getting the right details to the right people, fast

Site teams use their own devices, phones, tablets, or whatever they already carry. Once signed in, they can access project information, documents, photos, specifications, and forms without waiting or chasing the office.

Key foremen already using iPads can continue to view drawings and documents alongside existing tools.

Mandatory site sign-in, without friction

Clear visibility of who is on site, and when

Access to project information is gated behind site sign-in. Employees and subcontractors scan a QR code on site to sign in, which:

  • Records time and date
  • Confirms who they are
  • Captures their location
  • Tracks how many days they have been on site

This creates a live site register and removes ambiguity around attendance - plus the office team can see exactly what’s going on at each site from their desks.

Safety documents that must be read and signed

Proof of compliance, not just assumptions

RAMS, Hot Works Permits, and other safety documents are managed digitally. Users must scroll through documents before signing, ensuring they’ve actually read the content.

Forms that were previously paper-based can now be completed digitally, with configurable fields and the ability to upload files where required.

Different documents can be set to different signage frequencies (once, daily, or just read only) and all signatures are stored with a full audit trail.

Built for mixed workforces

Supporting employees and subcontractors properly

The system supports both employed staff and subcontractors signing into site. Subcontractors can be recorded without affecting employed headcount, while still providing a complete picture of who is present.

Staff records include roles such as administrator, manager, and roofer, with:

  • Defined access levels
  • Active and inactive status
  • Pending onboarding workflows where users set their own passwords

This ensures the right level of access without unnecessary complexity.

Full visibility for the office team

Know who’s on site, who isn’t, and what’s been signed

Admins can see in real time:

  • Who is currently on site
  • Who hasn’t signed out
  • Where people were when they signed in
  • What documents and forms were signed on a given day

Registers and records can be exported to CSV, providing historic proof of compliance and legal coverage when needed.

Delivered incrementally, shaped by real use

The platform is already in use on site. The incremental rollout has allowed feedback to be captured early and improvements rolled into subsequent work.
